Below, for each purpose it is indicated what information we obtain from you, for what purpose we process this information and how long it will be stored. Providing our services

ONE HUNDRED restrooms is a full-service solution for public transport hubs, highway service stations, retail areas and QSR. We offer several solutions from full concept solutions to IoT solution packages. As an operational partner you can choose the solution or combination of solutions that fits your purpose best. Also, for retailers or food concepts that are located close to a ONE HUNDRED restrooms, it is possible to become a ticket partner and offer special discount to the toilet visitors.

For this purpose, we process the following personal data:
• Name contact person
• Company name
• Company address if applicable
• (Business) telephone number
• (Business) email address
• Payment details
• Invoice details
• Visitor data (such as footfall or other metrics relevant to restroom use)
• DWG drawings or other technical files related to the restroom set-up and design
• Any additional information needed for project management or implementation purposes with the partnership.

We need this information because of our agreement with you and to maintain the relationships resulting from this agreement or based on our legitimate interest. We store this information for the duration of the agreement. Certain information will be retained for a longer period if we are obliged to do so (for example because of the legal tax retention period of seven years).

 

What personal data we collect by visiting our website and why we collect it

Contact and complaint handling
We offer various ways to contact us. You can contact us by telephone, but also by email, via WhatsApp or our contact form.

For this purpose, we process the following personal data:
• Name
• Company name
• Contact details (email address and telephone number)
• Any information you enter yourself as content of your message

We use this information to be able to handle your request to contact you properly and to perform the agreement with you to this end. We keep this information for long as necessary for this contact or up to 2 years after we last had contact with you, because we want to make sure we have handled your question or complaint properly.

Additional services
As a restroom visitor it is possible to use one or more of the offered services at our sites such as the vending machine, health check and smart urinal. Some services require the use of data, in that case it is always clearly requested from you, therefore you can always choose not to provide it. We do not store any data. For each of the services, a specific privacy statement provided by our partner applies.

 

Account and becoming a ONE HUNDRED dashboard partner

For operational partners we offer a realtime dashboard. You can manage this dashboard via your account. However, to be able to log in to your account, we will register you first. After the registration you will receive a link to activate your account with your email address and password (of your choice) to manage the ONE HUNDRED dashboard.

For this purpose, we process the following personal data:
• Name contact person
• Business information (email address and telephone number)
• Job position
• Address details
• Account details
• Transaction details
• Bank account
We need this information because of our agreement with you and to maintain the relationships resulting from this agreement. We store this information for the duration of the agreement. Certain types of personal data will be retained for a longer period with regards to the legal tax retention period of 7 years.

 

Surveys and sending our report

ONE HUNDRED conducts surveys on a regular basis. In compliance with our privacy statement, if applicable and relevant to the partnership, we may share aggregated and anonymized results with you. We will inform you via email of all relevant insights gathered from the survey. In certain cases, we may request your participation in a survey as an operational partner. The feedback you provide helps us continually improve
our services.

We process your personal data based on legitimate interest, specifically our commercial interest in enhancing our services. This interest takes precedence over your privacy interest because you have full control over whether you wish to participate in the survey and what information you choose to provide. We respect your privacy by ensuring that participation is entirely voluntary and that you decide which personal data to share with us.

For this purpose, we process the following personal data:

• Content of the survey
We store your personal data for a maximum of 5 years after you have completed the survey or requested the report, or until you have withdrawn your consent.

 

Participation in research via third parties

In some cases, your participation in a survey may be facilitated through an external research agency. In such cases, we ensure that the agency complies with the requirements of the General Data Protection Regulation (GDPR) and that your data is processed securely. We will always inform you if your data is collected or processed by third parties. Your participation remains voluntary, and you have control over the information you choose to provide.

 

Handling job applications

Have you responded to one of our vacancies or submitted an open application? If so, we will process your personal data in order to process your application and in preparation for the possible conclusion of an employment contract. You are required to apply via Nmbrs Hire. For this purpose, we process the following personal data:
• Name
• Address details
• Contact details (email address and telephone number)
• Curriculum Vitae
• Motivation letter
• Salary indication
• References
• Any other information you enclose with your application

Your application details are stored for a maximum of 6 weeks after the position has been filled. We store this information so that we can contact you should the position become vacant again within the probationary period. If we are unable to offer you a position at this time, we may – with your consent – keep the application data for one more year. You can revoke your consent at any time by sending us an e-mail. We will store your application data in your personnel file should you decide to work for us. This file will not be retained longer than necessary, and the application data will be kept for a maximum of
2 years after entering into employment. A social media and internet check can be part of the application procedure. This is necessary to ensure that our image is maintained when hiring new staff. We do this on the basis of our legitimate interest. For this purpose, we search your name on Google and, if necessary, your profile(s) on social media. This of course, for as far as these profiles are public; we will not ask you to grant us access to a protected social media page or to make a connection with us. The results of this social media and internet check will be discussed with you. If you object to this, you can indicate this by e-mail at the time of your application

 

Camera surveillance

When you visit one of our locations, we record footage of you through our camera surveillance as we have a legitimate security interest in doing so. We only do this to ensure the safety of our visitors, our employees and to protect our property. We keep the camera images for a maximum of 1 week, unless there is a legitimate interest to keep them longer.

 

Providing data to third parties

ONE HUNDRED restrooms only shares your data with third parties when this is allowed by current legislation. It may happen that we provide your personal information to third parties, because:

• we have a legal basis to do so;

Media on website

We use the reCAPTCHA service of Google Inc. (Google) to protect our website against spam and abuse.
